How to advertise your part - step by step

Herebelow you will find a detailed step-by-step description of how you can advertise your parts on the tendering platform of MecMap.

Once you've understood the procedure you will be able to define your own best practice.

Terminology:

  • The Orderer is the one that advertises a part that he needs manufactured and subsequently issues the corresponding purchase order.
  • The Supplier is the one that issues a quotation, receives a purchase order, manufactures and delivers the parts.

 

1 Create a folder on your desktop called „MecMap parts“

Create first of all one or more images of the part that you would like to advertise.

The images will be visible eye-catchers that can raise the interest for your add.

2 Open the drawing of the part or load the part in CAD

Use windows Snipping Tool to capture images from your screen

Zoom in or out to make sure that the image you are capturing has a resolution of approximately 1000 x 1000 pixels

Create up to five illustrative and meaningful images with your tool and save them under a suitable name (for example [Part Number_Part Name_1--5].jpg in the folder „MecMap parts“

You can save the images as .jpg or other commonly used formats.

Save all files that are necessary or helpful for the production in the folder „MecMap parts“

A clear add will avoid questions from the suppliers. 

The more data you supply (dxf, dwg, CAD models) the more easy and efficient the process becomes for the supplier.

Pack all files (except the jpg images according to point 4-5) into a zip file. Use a suitable name (for example [Part Number_Part Name].zip

Delete all files in the folder except the zip file and the "Eye-catchers"

Repeat steps 2 - 8 if you want to advertise further parts

 
10 Go to www.mecmap.com and log in  
11 Select the tab „Request for Quotation

Fill in the requested data in the tender mask.
Data with a * must be filled in!

If the part you want to advertise is similar to a part you have saved as a template, you can select the part using advertise templates. Existing data is automatically filled in.

Under the point "Pre-View" the image files from point 5 can be loaded - click "Select images", navigate to the "MecMap parts" folder. Double-click on the image file you wish to upload.

The chances of receiving an offer increase if a manufacturer can see at first glance whether he likes the part or not.

Repeat the "Select images" process until you have loaded all desired views.

You can select each image individually and delete it if desired.

Under "Main machining process" select the most significant machining process. Under "Secundary machining process" you may select 2 additional processes in order of importance. 

This part is crucial to ensure that you get the best supplier. Its particular strength should be the "Main machining process" you choose.

Under "Data files zip file" you shall upload the .zip file. Klick "browse" and navigate to the folder "MecMap Parts". Double click on the .zip file you would like to upload.

Under "Number of parts" in the "Order size" field, enter the number of parts you actually want to receive in the (possibly first partial) delivery.

With "Order type" you can indicate that follow-up orders are possible.

  • Single“: no follow up orders
  • Prototype“: Follow-up order with similar or same part possible =>~ enter quantity for series (if known).
  • Pre Series“: the purchaser wants to test the supplier, larger volumes may follow =>~ enter quantity for series (if known).
  • Partial delivery“: the request is the first part of a larger series / subsequent delivery =>~ enter quantity for series (if known).

Under "Price" you can enter your price for the complete delivery including transport (estimate!).

The indicated price is a guideline and does not result in any restrictions in the offers.
Unless otherwise agreed, the manufacturer/supplier must include transportation (DAP).

The field "Additional Information" gives you the opportunity to enter remarks, information, special arrangements (e.g. NDA) etc. in plain text.

Our recommendation: Keep it short and simple!

Select the "Group of RfQ";
"public": no further actions needed.
"public with message to preferred suppliers":
a window opens and you can select your preferred suppliers (if you have saved any).
"confidential private RfQ": select the suppliers from whom you would like to receive an offer.

  • "public": the auction will be visible to all MecMap visitors(!) and users (including the .zip file).
  • "public with message to preferred suppliers": the auction can be viewed like "public", but the selected " preferred suppliers" receive an invitation e-mail with a link to the invitation to the tender with the request to offer.
  • "confidential private RfQ“: the RfQ is not visible to the public, only the invited suppliers receive an exclusive link to the advertisement.

Enter the delivery country with the postal code.

This information is required by the offerer in order to include the transport in the offer.

If you want to advertise further, similar parts, you can give the existing advertisement a name and save it as a "template.

See item 12.

26 Now you can "Submit Request for Quotation and Preview".

This checks the input form for the mandatory fields as well as for the time logic of the "Dates" fields.

27 Check all entries for correctness.
If corrections are necessary, the input mask can be reactivated with the link "make changes".

The process then jumps back to point 14, of course with the previously entered values.

28 If the part is described correctly, it is set active with the button "Activate item now".

 

29 Supplement: the part can be modified until the first offer is placed on it. After that it can only be awarded early (before the specified date). See description under Help item "Order placement".
